01/28/16: > DD received info from Brian who used to be at Spring Grove. > he will be the contact for this combined schools music dept trip. > Disney trip modeled after the Feb. 2015 Spring Grove High School Music Dept.trip > Air > Proposed budget = $1,050.00 / student. 01/29/16: > Per DD, needs PTP 02/12/16. 02/11/16: > BJS Sent EM to Brian - Hi Brian! I hope things are going well for you at Cedar Cliff. Dave has shared with me your thoughts for a combined trip to Orlando with Red Land HS Music and we have been working on this for the past few weeks. As you know from your past experience with our company, we guarantee our rates and all inclusions when we present a package to our clients and unfortunately, Disney has not yet released their 2017 rates for Disney Performing Arts On Stage. Until last year, I would have gone ahead and prepared a proposal for you and guaranteed the rates, for we always knew what to expect from year to year when it came to the Disney price increase. For years it was always between 5% and 9%, so we would use 7% and be safe and be able to live with it knowing it would be somewhere in that range. This was all fine and dandy until last year, when they did not release their 2016 rates to travel planners until the end of April 2015. What a shock we all had when the rates jumped by over 35%! We had proposals out to multiple groups and several already under contract, so we had to eat the difference on all of the groups and it was substantial. Word coming through the grapevine is that we could see another dramatic increase for 2017, along the same lines as last year! We have been in contact with Disney on a weekly basis asking for the rates and being Disney, our requests seem to fall on deaf ears! The folks in their Performing Arts Office understand what we are up against and are sympathetic to our needs, but the rate decisions are made at Disney Corporate in California by executives several levels above the pay-scale of the folks in Orlando. I appreciate your understanding and patience. If it would be helpful, let me know and I can put together some pricing based on 2016 rates with the understanding that we would have to adjust as soon as the 2017 rates are published. To keep this all in perspective, the earliest airfares will be available is 9 – 12 months prior to the trip, so we still have plenty of time. Let me know how you would like us to proceed and we will do so accordingly. Thanks again and I look forward to hearing from you soon. Sincerely, BJS 2/29/16: > DD Details of meeting w/Buterbaugh. My name is Tommy Walters, and I work with Bryan and Dave in our main office. I am going to be handling your Disney Performing Arts Applications, and wanted to get some more information from you before I sent you the paperwork that will need to be filled out to submit to Disney. Could you let me know what ensembles you are planning to have perform in Disney? I see in our notes that you’d like to have a concert band performance and a parade for the marching band – is that correct? Also, each ensemble requires an application with videos of a recent performance of the group that is applying. I’m wondering, since this is Cedar Cliff and Red Land HS, do such videos exist? Let me know if you have any questions. When I hear back from you I’ll be able to send everything over for you to complete, and I’ll go over some more specific info about the applications at that time. Thanks so much! Tommy 4/3/16: > Rec'd EM from Brian Buterbaugh - Hi Dave, > All 7 directors met tonight in the same room! We agree with all stipulations in the contract, with the exception of a couple of revisions to the deposits and dates as we discussed earlier. This is what we’re looking for: 1. First payment due June 10th, not April 29th. This gives our kids a month to get a deposit in. Also, could the deposit be reduced to $15,000 from $20,500? We are asking for a $100 deposit; anything more is dangerous with only a month in between. 2. Second payment due September 14th instead of September 2nd. This amount can be raised to $44,200 to cover the extra $5,500 not paid in June. 3. All remaining deadlines and amounts work. > If that sounds okay, and you can send me a revised copy of the contract, I will sign and get it back to you immediately. Thanks! - Brian 04/21/16 > BJS made revisions to K and invoices as requested. > TPW is sending E-Agreement. > BJS sent EM to Brian - Hi Brian! Your revised Agreement is being sent today electronically, reflecting the date and payment amount changes you and your colleagues requested. I also want to thank you for your patience, for we have been swamped hear with so many trips on the road in mid-April. Finally getting to catch our collective breath! To this email, I have attached the Travel Planner Letter. If you can please copy this letter onto your school letterhead, sign, and then scan and return to me today, this would be most helpful, for we need to send it along to Walt Disney World so they can have it on file with our contract for your rooms at the All Star Resort. Here’s a recap of what we have on hold with American Airlines (these times are all current based on any schedule changes that may have occurred) AA x 99 seats 4/28 # 1661 PHL/MCO 0645am 0916am 5/02 # 1661 MCO/PHL 1007am 1228pm AA x 99 seats 4/28 # 1758 PHL/MCO 0839am 1110am 5/02 # 1758 MCO/PHL 1210pm 238pm AA x 10 seats 4/28 # 1868 PHL/MCO 1030am 101pm 5/02 # 1661 MCO/PHL 1007am 1228pm Southwest has just released to us the following – while they don’t have any lower fares than what we are presently holding, they do have a schedule you may want to replace some of the AA space with. . . I can get 110 seats moved as follows: Southwest - 4/28 # 1251 PHL/MOC 0640am 0905am 5/02 # 188 MCO/PHL 1035am 105pm This is approximately $480 inclusive per seat. Now this is a slightly higher price than the American fare, but on these 110 seats you’ll be saving at least $50.00 a person if they are checking luggage (due to baggage fees) AND the times are very close the booking of 99 at the top of page. That way you only have two itineraries to contend with instead of three on the departure. I am holding these seats, so if you are interested, let me know by 11/29/16 and we will secure these seats on Southwest. We will then pay the non-refundable $50 / seat deposit to Southwest and secure all 110 of these particular seats. BTW, I am in the airport in Miami and had a chance to log into our system and see that Transportation in PA is not included in your per person package rates. If you are interested in having us make these arrangements, please let us know and we can send it out for a quote. Do you have a preferred charter company in your area? Please reply all so Christi can get to work on this if you want us to make these arrangements, and then we should be able to have a quote to you the week after Thanksgiving. Thanks again for your patronage and have a great Holiday, BJS 11/29/16: > BJS sent EM to Brian - We are working on trying to find some less expensive flights for your group, which may include splitting them amongst three different flights, all arriving oand departing with no more than 2 hours of each other, all from Philly. I know our final number count isn’t due for a while, so hoping this doesn’t throw a wrench in the works. Thanks! - Brian 11/29/16: > BJS replied - Thanks Brian – are you still accepting deposits for this trip or are your numbers set at this point? I know your final participant guarantee form, room list, etc., are not due yet, but we have to have a final number for the airlines to work with as we are about to guarantee final numbers and make non-refundable deposits for the air later this week. As I am sure you can understand, the airlines cannot wait until our CCIS deadlines as the number of seats are finite. Please advise ASAP and no later than Thursday afternoon as to the numbers you want us to guarantee for the flights. Thanks again! 11/29/16: > Brian replied - No, we are 100% done accepting deposits. Please Note: Ground Transportation - Once we have the final performance times and locations for the ensembles on 05/01/17, we will be able to confirm the final rate for ground transportation and know whether the $2,400.00 we included from the onset is sufficient. You might want to prepare yourself for an increase since the $2,400.00 allowance was prepared when the group was smaller and only required 4 buses. Now that you are over 220 pax, five buses may be required, but if the times work out and depending on actual ensemble size(s), maybe not. We will need to know the exact number of performers and accompanying adults, including directors / staff for each ensemble so we can secure ground transportation as needed on both performance days. One other item to start thinking about . . . who will be on which flights. You will need to provide your Air Passenger Manifests accordingly. Remember, you have the following available to you, in order of departure from Philadelphia: Southwest (77 seats + 1 seat for Escort) 4/28 # 1251 PHL/MCO 0640am 0905am 5/02 # 188 MCO/PHL 1035am 105pm $ 438.00 American (78 seats) 4/28 # 1661 PHL/MCO 0700am 0916am 5/02 # 1843 MCO/PHL 1100am 126pm $ 409.00 American (78 seats) 4/28 # 1758 PHL/MCO 0839am 1110am 5/02 # 1758 MCO/PHL 1210pm 238pm $ 340.00 The estimate I provided used the average fare, you will only be charged for the actual seats used. Hi Dave, See parent question below - kind of weird. Is there any way for Disney to “link” her wristband from our trip into her parents trip, which will continue on after we leave? Brian W. Buterbaugh From: Amy Daniels <amychiwaka@gmail.com<mailto:amychiwaka@gmail.com>> Subject: Carly Daniels Disney trip Date: February 28, 2017 at 11:03:51 AM EST To: "Buterbaugh, Brian" <BButerbaugh@wssd.k12.pa.us<mailto:BButerbaugh@wssd.k12.pa.us>> Hi Mr. B, As I mentioned to you before, we are coming down to Disney for the full week as a family and Carly will be staying with us the rest of the week after the school leaves. My travel agent and I are trying to figure out getting her fast passes for the rest of the week while she is with the family. This poses a problem since she isn't included in our week package deal. My travel agent spoke with Disney and the best way to do this is to just extend her wrist band from your reservation. Could you tell me if the school's reservations are bundled (room, meal plan, park tickets) per person or was everything purchased separately? Would it be possible to have a reservation number or park ticket number depending on how it's purchased? I apologize in advance for asking this. I know it's confusing and a pain in the rear. I was just hoping to be able to coordinate everything so it runs smoothly when we're there.
