Emmaus, PA to Orlando, FL = FLYING - out of Philly or Newark if possible Emmaus HS to Philadelphia International Airport = 65 miles / 1.5 hrs non-stop 7/6/17: > BT spoke with Rita at length re: Orlando trip in 2018. She will be primary contact. > Band, choir, and orchestra. FLYING. > Dates: Feb 15 - 18, 2018. > Leave Thursday am, return Sunday pm. > Disney only, on property. She thinks Ryan stayed at Moderate Level - Port Orleans. Would like to consider those if available and it doesn't crush the budget. She said she is ok with value level resorts. > BT did look at Disney rates, and this is a more expensive week b/c of presidents day. Rita said they didn't really have any wiggle room here. > Numbers - tough guess. She thinks - 150 students + 15 adults. Could increase. She originally started the convo talking about the potential for 200 pax, but wasn't sure if all of their top kids will go b/c next year is their overseas trip. She felt like "3 buses" was safe. > Need charter transportation to/from school to departure airport. > Philly, Newark are closest. About same distance. > Orchestra wants workshop. Band wants a parade. They might also want a workshop, but we discussed the amount of time out of park. She will speak with him and advise if he wants workshop too. Choir - last time she didn't have all of her top kids, perf. wasn't so great. But not super into the workshop idea. Leaning towards performing. Says she can't fill 1/2 hour. Would rather perform in the park rather than Disney Springs. > Budget is $1000.00 - $1200.00 range. She figures "it is what it is". Budget must not be an issue for this school. > no hopper! > 3rd week in Sept. is parent meeting. Would like to have by then. Week of Aug. 21st for TO presentations. Aug. 22 penciled in for now. Talk as we get closer. BT would like to present both trips in person. > Rita has always wanted to go to Cape Canaveral. Maybe go to Cocoa Beach? If they did this, they would stay until 19th. Maybe do this on Saturday or Sunday. We had a long conversation about this and it is SIDELINED FOR NOW. This was really for her, not sure how the kids would like it. BT suggested she take advantage of the site visit and visit on her own - she loved that idea. 8/4/17: > BT texted with Rita in attempt to solidify TO presentation and set up visits with other schools in that area. We had penciled in 8/22, but I am not able to do that anymore. > We are now planing on 8/30. BT updated TO date on White Board. 8/28/17: > BJS completed IOG and per BT, they will be using DTS as much as possible. > BJS made attachments and ran rates. > Comps are 1:25 > Tier 1 = 149 - 165 > Tier 2 = 133 - 148 (+$20pp) > Tier 3 = 118 - 132 (+$20pp more than Tier 2) > CH, ready for TO - old style. > BT is meeting with Client on Wednesday. ____ CH ____ 8/30/17: > BT had in person TO with Rita, Ryan, and Connie. Overall good meeting. They are not warm fuzzies, but not unfriendly. > They made it clear that they want a 4th day in the park on Sunday instead of visiting Disney Springs. So change lunch to a $15 Disney Dining Card on that day. Depart in time to go back to All-Star to get Magic Express to airport at 4pm. > In an effort to save money, they will remove the $10 meal credits at the airports. > They will need an allowance for a rental truck. Ryan can't remember what it cost last time, but will research and advise. We are thinking $2K for truck, hotel rooms for drivers, and gas. > There was some discussion of forgoing the workshop to save a little more money. Ryan wanted to know how much it cost. By the notes in the attachment, looks like a savings of about $11 if they don't do workshop. > Their last trip to Disney 4 years ago was $1250 to $1270. This incl. 4 park days, flights, staying at Port Orleans. They are in that ballpark now which is pretty good considering tix have increased. But they are staying at All-Star instead. They really want to keep the trip under $1300. Have to use comps for directors, drivers, and administrator plus factor in flight costs for directors and administrator. > Rita wanted to know if the luggage gets placed in their rooms by Disney after flight. She seems to remember it being left outside their rooms and this didn't seem secure. Please advise if you know. > Once I get truck allowance from Ryan and decision about workshop, they are ready for a revision. 8/31/17: > BT is having an exhausting email exchange with Rita today. > Rita: "Connie just mentioned that she thinks the comp tickets for teachers do not include airfare. Is this correct?" > BT response: "That is correct. The comps are awards at the double rate and are for the package only, excluding air transportation. The airline does not give any comps. Your group pays for the exact number of tickets on the airline manifest." > Rita: "I am not happy." > BT response: "This is how it is with bus transportation as well. The cost of charter buses is a fixed cost, much like the airline tickets. So we can only offer comps on the package. You will need to build the cost of any “comped” airline tickets into the overall cost of everyone’s trip as we discussed yesterday. For four airline tickets ($1760) that comes out to between $11 to $12 per person assuming 150 are paying for the entire package. I hope this information helps." > Rita: "Did you include bus transportation to the airport in the cost?" > BT response: "Yes. If you read the 3rd bullet down on the inclusions page of the Trip Orchestration, you will see that round trip charter transportation to the airport in Philadelphia is included. We also include a $3000 allowance for charter buses on the performance day. This assumes that 3 buses would be needed on both days (the worst case scenario). Any unused expense here will be credited back to you." > Rita: "And by the way, the last two times I went to Disney with my groups, the travel company did include airfare and bus transportation to the airport in the cost." > BT response: "This is because most tour companies hide the expense of airfare from their clients. That way they can build in hidden profit for themselves. We don’t do this. We keep these costs transparent so you can see how the funds are spent." > Rita: "I am talking about including those costs in the comps." > BT response: "I’d be happy to discuss this further if you’d like to give me a call." > She called - she is most annoyed that the airfare is not included in the comps. She has traveled overseas and has never seen this before! I tried to explain how this works as you see above, but it just didn't seem to make sense to her. > In doing all of their figuring, now they are over $1300 for the trip...she wants it to be under $12K! Well how the fuck can you do that if it was $1250 4 fucking years ago??? > Anyway - they are trying to skim where they can. Here are the decisions: > Remove the $10 MCs at the airports. Remove the workshop. > She thinks $3000 for buses in Orlando is too much. There's no way they would need 3 buses on each performance day, and why can't we figure out exactly how many buses they need right now? They said last time band didn't need bus for performance b/c their truck brought everything around. > BT explained that this is worst case scenario, as I already did in emails. Better to give credit back than have to ask for more money later. Not sure what to do here...reduce it by half and hope for the best? > They will handle the rental truck on their own rather than build it in. > How soon can they have revision based on these changes? 9/1/17: > BJS updated IOG and attachments based on BT's notes from above. > BJS updated rates and entered below. > BJS updated TO and called it Rev1. > BT is sharing TO Rev1 with the group for tyheir review and comment / approval to proceed to K. 9/11/17: > BT got ANOTHER email from Rita re: the revision. > Now she wants to know how much it would be if the band does a parade (PAOS) and the orchestra and chorus do a workshop. She says "We don't have time right now, nor do we have anything prepared, to do a video of the chorus and orchestra combined". > Also, she wants to know what the rates would be of they only had 100-117 pax (this would be a "Tier 4" since their Tier 3 is 118-132 pax.) 10/2/17: > BT heard from Connie today: Ok, so we got our commitment from students and we reached the minimum number of students we felt we needed to run the trip, so now we are just awaiting the district approval, which shouldn't take long. Hopefully we can have everything signed by the end of the week. I will keep you posted > BT replied and asked if we should send K and if she has taken over as trip coordinator since I haven't heard from Rita. Also if she found Disney application. > She replied that we can send K, but won't sign until they have board approval. But she "doesn't forsee a problem". > She said she hasn't taken over, but has "had time compared to Rita", so told her she would. Kinda vague. 10/9/17: > Disney application submitted by BD. He is doing parade. > Workshops for Orchestra and Choir. She says they need the applications. HMS thinks she sent one to each. BT will ask them to check. Please re-send electronically. > Connie says 140 would be their max pax count. Of course, she didn't give me the breakdown of students plus adults. > Ready for K. UPDATE: > Connie says current numbers are 121 + 18 = 139. > Still hoping to get to 150 as they are not turning anyone away. 10/20/17: > BT registered group for Travel Protection, sent link and docs. 10/22 & 24/17: > While in FL, BT told Rita the final payment would be due 01/18/17. > BJS updated in TPMS accordingly. > K and TO version of K are based on a PAOS Package. > Band is doing Parade Performance - no workshop. > Choir is doing Disney Sings Workshop - no performance. > Orchestra is doing a You're Instrumental Workshop - no performance. > Choir & Orchestra will be charged a $21 up-charge for each of the workshop participants. This is the difference between the 4-Day Starter Ticket with a performance and the 4-Day Stater ticket with a Workshop. > What they are doing most resembles TO Rev1 with Tier 2 rates and a note about the workshops. > BJS updated count to 140 (122 + 18). > BJS updated attachments accordingly. > Comps = 1:25 paid. > No tiers since they seem pretty set on their numbers. > BJS made K due 10/31/17. > Air Passenger Manifest and Full Payment ($440) for the airline (ATG) is due to ATG on 11/7/17, so made it due to us on 11/06/17 - THEN, on 10/24/17, ATG got the due date extended to 11/17/17, so BJS changed the 1st Payment INV due date to 11/13/17, with the Air Passenger Manifest. > Next Payment (1/2 of package rates) will be due 12/7/17. > Remaining Forms will be due 12/15/17. > Final Balance will be due 01/08/18. > BJS prepared & emailed INV #6310, due 11/13/17, $61,600.00 - this is for the AIR portion of their trip. > BJS prepared & emailed INV #6313, due 12/07/17, $54,320.00 - this is for 50% of the CCIS portion of there trip. > CH, please note accordingly on the Deadline Schedule and in the K itself. > For Disney Applications, please list as due ASAP!!! > CH, please create the Emmaus Music Dept Air Passenger Manifest, as we discussed, and advise BT when it is in DB so he can send to the group this afternoon. > CH, please send E-agreement this afternoon if at all possible and include all three directors for signature, starting with Connie (OD) and then to Ryan (BD, and finally to Rita (CD). (I'll be at TMEA - gee darn). 12/13/17: > BJS sent Em to Ken to see if he is available. Ken: Just had a request this morning to add an escort to an Orlando trip in February. You’d arrive 2/14/18 and depart on either the evening of 2/18 or morning of 2/19. Please advise at your earliest convenience. Thanks!!! 12/14/17 > KMH updated FAF file for special diet requests via email from parent > I have a student with a genetic disorder- PKU. He needs to be on a low protein diet. His parents will likely be sending him with low protein items, and at least when I have taken him to Hershey Park on trips, a doctors note states his need to bring his own food with him in to the park, and the park always understands. I know his family has visited Disney before, and they said some of the restaurants can have low protein food from a company called Cambrooke, but they had to make reservations and notify the special needs department. Im sure they will make phone calls necessary, especially once we let them know which park we will be at on a certain day, but I didn't know if the hotel had access to these meals as well for breakfast, or if it was worth it to tell them. I think he packs shakes and fruits and veggies and I will talk to them for more details, but if they have gone to Disney I guess they have dealt with things before? Have you ever had this situation? I wasn't sure how to explain it on the dietary needs sheet. Thanks!
