Remember, we are happy to make any changes you may want in order to better meet your educational needs and budgetary requirements, all you have to do it let us know what modifications you’d like to see. If you are soliciting quotes from other companies, are they… • Giving you their best price from the proposal stage? No one should have to play “let’s make a deal.” • Telling you exactly where you’re staying? No one should ever wonder what hotel they’re staying in. • Giving you a choice of transportation providers? No one should be picking your transportation for you. • Building transportation costs into your per person package rates? No one should be taken advantage of…see information provided on why transportation should not be included in the per person package rates • Providing you with restaurant/meal specifics, including menu options? No one should be left in the dark about where or what they’re going to eat. With CCIS, your trip is confirmed and guaranteed from the proposal stage and it is “all-inclusive”. Everyone going on your trip can travel without any money in their pockets! Remember, lowest price does not equal best value. At CCIS, we plan the best trips of the highest quality while assuring you unparalleled value. Thank you again for your time this morning and the opportunity to be of service to you, your colleagues, your students and their parents. I look forward to hearing from you soon with any questions or comments and I can guarantee that you will be more than satisfied with CCIS – you deserved to be, and will be thrilled! Sincerely, BJS. > TPW to send PAOS and Candlelight Application packets electronically. 02/04/16: > BJS rec'd EM from Cody - Hey Bryan, Can we look at one alternative thing. Can you look into seeing if there are any hotels that offer quint rooms? I'm just wondering if that would be cheaper? also, what would the price difference be if we spent 4 days in Disney parks and 1 Day in Universal with the park hopper / no park hopper? Thanks! Cody 02/04/16: > BJS replied - Cody: Thanks for getting back to us. We actually use suite properties almost exclusively in Orlando and started our search for your group with suites as well; however, as it is the busiest week of the entire year, suite properties were reluctant to sell a block of rooms to a large group when they know they can sell them to families at full price and still sell out. Even starting a year out, as we did with your group, large blocks of rooms, for a group of your size are a challenge during the holiday week. For example, we are doing the Butler HS Band’s trip to Orlando over the same dates as yours, also 300 pax, and they are in the same situation, even though we started their trip two years in advance. Suites are a great cost saving alternative, unfortunately, they are not available to really large groups during the Christmas Week. Let me run some numbers on the Disney / Universal option you mentioned and I get back to you in the next 24-hours, if not sooner. All the best, Bryan 02/05/16: > BJS ran rates based on several different Disney & Universal options and then put the system back to how it was presented in the original PTP during our GTM. > BJS Sent EM to Cody - Cody: Thanks for your patience, I wanted to have a chance to run several different options for you based on the various Disney & Universal ticket packages available to our groups. OPTION 1 The per person package rates for a 4-Day Disney Starter Ticket + a One-Day / One-Park Universal ticket would be as follows: Quad Package - $689 Triple Package - $759 Double Package - $889 Single Package - $1309. Please Note: With a One-Day / One Park Universal Ticket, you will need to select either Universal Studios OR Islands of Adventure. You must also be aware that your group will not be able to take full advantage of the Harry Potter Experience since it is split between both Universal Parks, nor will they be able to ride the Hogwarts Express which transports passengers between Universal Studios and Islands of Adventure. With that being said, here are rates for a 4-Day Disney Starter Ticket + a One-Day Park-to-Park Universal ticket: OPTION 2 Quad Package - $710 Triple Package - $780 Double Package - $910 Single Package - $1330. Another option would be to do 3-days at Disney and 2-days at Universal. This is the most popular option for groups spending 5-days in Orlando, for the high school aged students really seem to be drawn to Universal more than Disney since the Universal rides are more age appropriate. Being that you are traveling during Christmas Week, this would also allow your group more time to experience Universal since the Christmas week crowds are huge and one day at Universal is probably not enough. The rates for this option, 3-Day Disney Starter Ticket + a 2-Day Park-to –Park Universal ticket would be: OPTION 3 Quad Package - $710 Triple Package - $780 Double Package - $910 Single Package - $1330. This is not a typo, they are the same as Option 2. I also wanted to let you know that we received a 5th charter quote. This one is from Loadstar and their rate is $11,894.00 / 55-passenger coach and the corresponding Per Person Bus Cost Chart is attached. I hope this information proves helpful and I look forward to hearing from you as soon as possible, for we are holding all of the reservations for your group. Remember, we are happy to make any adjustments you may want or need, just let us know! Have a great weekend, Bryan. 02/05/16: > BJS sent another EM to Cody to tell him about STARS - Cody: I neglected to mention in my email a few moments ago that Universal also offers performance opportunities in their parks through the STARS Performance Program. During the holidays, they actually recreate the Macy’s Thanksgiving Day Parade featuring the actual floats and balloons from their New York City parade. Stage performances would also be available for the orchestra & choir. I do need to make you aware that participation in the STARS Program requires the purchase of a 2-Day Universal Ticket. The rates I just shared with a 2-day Universal ticket would be the same if your group participated in STARS or just went to the park for 2 days. Thanks again, Bryan. 02/05/16: > Rec'd another EM from Cody - Hey Bryan, Thank you for this information! This is very helpful. I have been talking with my colleagues and we just wanted to see 1 more difference. The main difference would be doing 4 park days instead of 5 with a day to relax/Disney springs morning/if orchestra does Disney Springs performance. So looking into 1 Day Universal and 3 Days Disney or just 4 Days Disney. Also, Just out of curiosity, what do you know about the performance opportunities at universal? and for Disney, is there any other venue to perform at besides Disney Springs? Thanks for everything so far! Cody. 2/5/16: > BJS replied - Cody: Here are the other options based on the idea of just 4 park days and a day to “hang out”. OPTION 4 4-Day Disney Starter Ticket + a day to “Hang Out” Quad Package - $619 Triple Package - $689 Double Package - $819 Single Package - $1239. OPTION 5 3-Day Disney Starter Ticket + 1-Day Universal 1-Park Ticket + a day to “Hang Out” Quad Package - $655 Triple Package - $725 Double Package - $855 Single Package - $1275. OPTION 6 3-Day Disney Starter Ticket + 1-Day Universal Park-to-Park Ticket + a day to “Hang Out” Quad Package - $675 Triple Package - $745 Double Package - $875 Single Package - $1295. Depending upon what you do with meals at Universal and on the “hang out” day, rates may need to be adjusted accordingly. I sent information on the Universal STARS Performance Program in an earlier email this afternoon. Disney performances typically take place at Magic Kingdom (Parades only), EPCOT (Candlelight Processional and on an as needed basis, stage performances for bands, choirs & orchestras), and on the Waterside Stage at Disney Springs. Have a great weekend and let me know if you have any other questions. Bryan 02/08/16: > Cody called and spoke with BJS about Tour Escort and Security. > Cody also mentioned that Perkiomen is probably their charter choice > BJS sent follow up EM to Cody: Cody: Per our conversation a few moments ago, I have attached a copy of the Final Itinerary from the Fleetwood HS Music Department’s trip to Orlando this past year. It clearly shows the detail we provide and you can share this with your colleagues to help decide if you are interested in having us add an Escort ($250 / day). Another option would be for us to have an Escort meet up with your group once they arrive in Orlando. This option would save two days of escort fees. Let me know what you decide and if you want us to go ahead and secure the coaches with Perkiomen. Thanks again, Bryan 2/17/16: > BJS sent EM to Cody - Hi Cody! I am checking in to see if you and your colleagues have made a decision on the inclusion of a Tour Escort and / or Security. Please let me know at your earliest convenience so we can get the coaches secured with Perkiomen (if they are still your preferred carrier) and make any final revisions. Thanks, Bryan > We will also need to know which Option they want to go with. 02/22/16: > Cody replied to Thomas and TPW asked him iof he could call at a convenient time. 02/22/16: > Cody returned call and we discussed their other proposal - they refuse to tell hm where they are staying and what the bus price is! > Wants us to remove lunches on the park, add security, escort in Orlando, 3-d WDW Starter and 1-d Univ P2P. 02/23/16: > BJS sent Em to Cody - Hi Cody! > Thanks again for taking the time to talk with Tommy and I yesterday. Per our conversation, I have competed the attached Revision, what I am calling Option 7, for your careful consideration. > By making the changes we discussed yesterday afternoon, we were able to get the price down to $629 per person quad occupancy + bus. All of the details are included in the attachment, so nothing is left up to chance or open for interpretation. You are about to commit nearly a quarter of a million of your students’ and their family’s hard earned dollars to this trip, so there should be no surprises and you should know exactly what you are paying for. > As you know, we are happy to continue to work at this until you are completely satisfied. Please don’t hesitate to ask if you and your colleagues have any questions or concerns…we’re happy to accommodate all of your needs. By the way, we can move around the park days once your performances are scheduled, but we need to keep in mind that the Universal day should be on or before 12/31/16, this way it will be before their 2017 rate increase takes effect. > Also, Tommy will be sending Disney Performing Arts On Stage and Candlelight Processional Applications to your attention with easy to follow instructions. These will be sent as e-documents from Thomas Walters, via Adobe, so please keep your eyes out for them as they sometimes get filtered as SPAM. > Thanks, again, and I hope to hear from you soon, Bryan > P.S. – Don’t forget, we’ll be in your area from March 16-18 and would love to meet you in person and take you and your colleagues out to dinner. We’re happy to make any day work, but perhaps the evening of the 16th (Wednesday) would be best! 02/24/16: > BJS sent EM to Cody - Cody: > I hope you received the information I sent via email yesterday afternoon. Please pardon my mistake, I forgot to add to the inclusion list the following two items – CCIS Luggage Tags for each trip participant as well as a CCIS Souvenir Sport Sack for each trip participant. I realize these seem like small things to us, but the kids really seem to get a kick out of both of these items. > Thanks again and give us a call if you have any questions or need us to make any further adjustments. Talk to you soon, Bryan 03/11/16: > Cody called - still no final decision but they / he is leaning toward us. > Kaleidoscope is who we are being bid against and he is giving them an opportunity to match our price! > Even with the price matching, they have not told him where he is staying or what bus company he would be using! Also, their Universal ticket at this point is a 1d/1p, not a hopper, so that is another $20 difference in our price - OMG - why is this even a discussion we are having at this point. > I expressed my concern to him on how unfair this is and the fact that they should have given him their best deal from the beginning! He made one call and they dropped $30 off the price - shows you how much they were willing to over charge him had he not have questioned their rates or found out there was some competition! God this pisses me off. > He has given them until Monday to get back to him - will give me the opportunity to make additional changes if necessary - but he doesn't think this will be the case. > BJS agreed to include Security at no cost ot the group (saved $10pp from our most recent proposal). They will also get the luggage tags and CCIS Sport Sak. > Cody to call on Monday so we can discuss final decision, make plans for Wednesday evening's dinner, discuss due dates / deadlines all in an attempt to be able ot take the GLH / Contract when we go out there on Wednesday. > BJS told JNM to make sure she requested the K from Perkiomen for their coaches and told TPW to be sure we had the rooms secured at the Orlando International Palms Resort with John at RY. > BJS also BCC'd Cody on the Kettle Run HS Music Dept Orlando Final Itinerary and rthen sent a follwo up email - Cody: Thanks again for calling this morning and being so honest with me regarding the status of the E-town trip. I really appreciate that and am confident we will be able to come to a mutually satisfying agreement for your December trip! I just copied you on a Final Itinerary for one of our long time clients heading off to Orlando a week from today. I thought you might like to see an actual fully scripted CCIS final itinerary so you will have an idea of the type of detail we not only provide in our proposals, but also all the details in the final documents as well. Have a great weekend and I look forward to your call on Monday and, meeting you in person on Wednesday! All the best, Bryan 03/14/16: > Cody called and we got the job!!! > Delivering GLH on Wednesday when we meet him for dinner in Elizabethtown at 5PM - place and exact time to be confirmed by BJS. > Delete Meals en route - they will be on own. > Just two security guards and CCIS will pay for these - not the group. > CCIS Sport Sack and luggage tags included. > Universal will remain a 1d park to park pass as it has been. > Disney ticket is a 3-day starter and they will also go to Disney Springs for a day, when the orchestra is performing, 12/31/16 based on IOG. They wil not be in a park that day so as not to use a ticket - it wil be a Disney Springs and Hotel day. > BJS updated IOG accordingly and then updated attachments as needed. > Also updated rates. > K to be signed this Wednesday when we are at dinner. > First Payment due 4/19/16 at $100pp. > Second Payment due 06/17/16, $200pp > Third Payment due 9/29/16, 50% of remaining package balance + 50% of transportation. > Forms due 10/27/16 > Final Balance due 11/11/16. > Charter Choice = Perkiomen. > AS this is going to K, please review and proceed as needed. Talked about Lucky Strike Lanes at Disney Springs as a possibility. > As this group is now UNDER CONTRACT, please review and proceed as needed, making sure all attachments are up to date with correct dates entered. > First $$$ to be received 04/29/16. __x__ JNM __4-26-16__ ____ TPW ____ ____ HMS ____ 04/15/16: > Cody called and said numbers were expected to be closer to 220 or so. Band & Orchestra Times and locations are still TBD. Saturday is New Year's Eve and BJS called PAOS and spoke with Mike. They cannot schedule them on Sat, 12/31/16 and now there is a very strong possibility that they are going to need local charters for the Band since this is departure day. > BJS adjusted IOG accordingly with PAOS information and we will address bus issue with Cody once we receive the group's first payment. > As for the Booster dinner, lets wait and see where the Orchestra is performing (Park or Disney Springs) before we decide which day is going to be the Hotel / Disney Springs "relax" day. Once we know this, we can work with the director and make a determination on what day and what to do for that dinner. __x__ JNM FYI __x__ TPW __5/2/16__ ___x_ HMS _5/5/2016___ 04/28/16: > Cody called and spoke with HMS. When you have a chance early this week, please give me a call back at your convenience. My Monday is already pretty booked, but Tuesday looks to be a bit more open. Thanks, Bryan 5/3/16: > Rec'd check #1212, $17,800.00. 05/05/16: > BJS and HMS discussed and decided to drop count to 220 since he has called and said it will be closer to 4 buses or so . . . > Updated IOG, Bible and Status Schedule accordingly. > BJS sent EM to Cody to see if he feels this is a more realistic number to be working with. - Cody: Just a quick note to see if you feel 220 total trip participants, 200 students and 20 adults is a more realistic figure to use in place of the 300 we were working with originally. I know you have mentioned lower numbers, so I wanted to see what you felt was a solid number to be working with from this point forward so we can release some of the hotel rooms and possibly even a bus, if we know now that you are not going to need them. Thanks for your help, Bryan 05/05/16: > Per Cody - Currently we are at 190? I would need to double check that. I think at tops we need 4 buses at this point and I know each bus held 52 each. At absolute maximum at this point (for costs) I'd let it come up to 200) that way there are at least 2 seats open on each bus in case a student is sick. If it exceeds that I'd be releasing chaperones (currently is over what is necessary through our school board). 05/05/16: > BJS replied - Thanks Cody, I appreciate the information. Based on those numbers, we are going to go ahead and release one of the buses now (we had 6) and then we can re-visit final numbers again later on the Summer and release the 5th bus if necessary, all without charge to the group. We will also reduce the room block at the hotel accordingly. Have a great weekend and don’t forget about the Site Visit Request Form, Bryan > BJS reduced comps to 4 based on lower numbers. > BJS updated to Apple Watch attachment since we are out of Bose. > JNM, please release the 6th coach at this time. > TPW, please reduce the hotel room block with RY. I would go down to 64 DDs at this point. Being Christmas week, I am sure they will appreciate our making this reduction now. I trust you had a good first few days back at school and everyone had a great trip! I have attached a Tour Evaluation Report Form to this email and would appreciate your taking some time to complete and return the form. Also, should you have any “unused” park admission tickets (not comps) and / or meal vouchers / dining cards, send them my way and I can return them to Orlando to request a refund.
